Let’s begin with packing and preparation. I have attached a suggested camper supply list for your family’s convenience. This is the same checklist that you were sent earlier and is just for review. Please note that not everything on this list will apply to you based on what accommodation you have chosen……… Don’t forget to bring your families lunch supplies, snacks, and beverages for in between the group breakfasts and dinners. There are two full-service restaurants onsite if you plan on using them for lunches and snacks. There is also a general store, coffee shop, pizzeria, and a saloon.…….. The resort does allow dogs and there is a non-refundable deposit that you will pay at check in. No deposit required if you are camping in a tent or RV. Attached is the resort’s pet policy………..Remember to bring your decorations so that you can have a chance to win the camping site and golf cart contests.

Each reservation only covers you for “one” tent per reservation. You cannot set up more than one tent unless you have paid for more than one spot. RV campers cannot set up a tent unless they have paid for an addition tent spot.
Check-in is at 4pm. (Please do not arrive before because your rooms will not be ready) Westgate River Ranch address is 3200 River Ranch Boulevard, River Ranch, FL 33867. Once you arrive, you will turn left immediately after entering the main gate… Make your way to the pro shop because that is where you will check in and be directed to your site. We will be checking people in at the pro shop until 7pm. If you arrive after 7pm you will need to check in at the front desk…… I have attached a park overview map to assist you in getting to the pro shop. Maps will also be given to you at check-in. Also attached is a list with the names of each family in alphabetical order. Use this list to easily verify what accommodation your family has reserved…….I have also attached a detailed campers list showing all our campers and what sites we are assigned. Use this list to verify the people listed in your group. Please note we have not issued site numbers for tents and RV’s. Tent site campers pick their own spot and RV sites will be assigned as people arrive. Also in this attachment, at the bottom, you can also see the total number of children (including their ages) who will be camping next to you and nearby. Your kids will want to know this……
Your check-in documents will be waiting for you to pick up at the pro shop and will include the standard resort info. Tent campers and RV campers, once you have arrived at your site, please quickly unload your gear at your site and set up your camp. Once you have finished unloading, please carefully drive your vehicle to the designated parking lot and leave it there. You CANNOT park your vehicle on your campsite. Non tent campers and non-RV campers will be able to park their vehicles at designated parking near their respective lodging. This is an important group safety measure for our kids and there will be no exceptions to this rule. Once your site is set up and ready to go you can join ongoing activities and the amenities of the park. Posted near our kitchen, you can find our group’s menus, cooking and clean-up assignments, and activity schedule. Our Camping trip kick-off Pizza Party will start at 7pm.
We have a great group of Dads who have volunteered to arrive early to help you with all your arrival and set-up needs. These Dads will be available from 4pm to 7pm. They will have site maps to help you find your site, and more. These Dads will be around and will be your go to guys for any assistance you may need upon arrival. Look for them to be wearing orange or yellow safety vests.
GOLF CARTS: If you have reserved a golf cart, it will be at the pro shop waiting for you when you check in. Very important that you use the following link to fill out and sign the liability waiver. Doing so will help you get through check in quickly and save your family valuable time. Once you complete the online waiver it will be emailed to you. Please print this and bring it with you at check in.
Your family’s name will be noted on a sign attached to the cart.
Please review this with all family members who will be operating your golf cart. Everyone will have to individually return their golf carts on Monday to the pro shop where you picked them up. Please do NOT leave your golf cart at your site.
Please note if you are a Tee Pee camper, Luxury Glamper, or a Conestoga Wagon camper, your personalized golf cart will be at your accommodation site, and you can leave it there when you depart on Monday.
Attached is the approved fire pit list if you plan to bring your own firepit. We also use these types of fire pits in our community area during the movie. The firewood we order is only for our community firepits and not for any campers personal firepit. Wood for your personal firepit will need to be purchased from the resort directly. Please note that you must purchase firewood from the resort and cannot bring your own wood into the resort. This rule is to protect the animals and vegetation.
Camping shirts will be at the pro shop when you check in. Please wear your shirts on Sunday for our group picture and other scheduled group activities. Thank you in advance. Attached is a preview of what this year’s shirt will look like. If you signed up late, and you were told that we won’t have shirts for you, please wear a plain blue shirt on group picture day.
You and your family are in for a wonderful time! There are many activities planned throughout the camping trip to join in on. Some of the highlights will be our Pizza party, our group meals, the scavenger hunt, group picture, field day games, soccer game, Dadstock Concert, movies, s’mores, and much more. Attached is the activity schedule for the weekend. The resort also has an adventure park. Every child will receive a pass given to them access to the adventure park. Attached is a liability form that each family needs to fill out for the adventure park. Please print this form and complete it by listing all the children on your reservation and signing on their behalf. Use only one form per family (not one form per child). You will be asked to provide this form at check-in. If you do not have the form ready you will have to step out of the check-in line to fill out the form and then reenter the line…… In addition to our group itinerary and the adventure park, there are many activities the resort has to offer. Some of these for an additional fee. These include swamp buggy rides, horseback riding, airboat rides, archery range, boat rentals, trap-skeet shooting, and more. Attached is this year’s menu. Because of our wholesale connection through one of our All-Pro Dad’s, we are able to get the food we need for our group meals at substantially reduced costs. A special thank you goes to Mike Lamando and his company Amici Catering for facilitating this. We will be serving 3 breakfasts and 3 dinners during our camping trip. Included with the 6 large meals will be plates, napkins, beverages, utensils, condiments, etc. Campers will need to provide their own meals outside these group meals. I.e. lunch, drinks, snacks, etc…..We go all out. For breakfast we are talking pancakes, eggs, french toast, fruit, coffee, and more. For dinner we are talking burgers, hot dogs, grilled chicken, vegetables, and more……..There are two eating times per meal based on site numbers. So please refer to the activities schedule to see what your family’s eating times are for each meal. Meals will be served at our community kitchen, and we can all join together to break bread in our community dining room.
In order to feed 800 campers six times, we require that every dad (or any male over 18 years old) has a volunteer position as a cook, or as a helper with meal clean up, or on an activity. You will be receiving an email soon that will have an alphabetical list of all the dads attending with their respective volunteer assignments. If there is a male over 18 in your party, please make sure they get this list. It is very important that they show up for their respective volunteer positions. If there is a conflict, we need to know right away so please review this list….Attached is a list of the leaders of each volunteer effort. There are kitchen managers for each meal shift as well as leaders for each activity. These managers/leaders will do their best to contact the men they are leading. They will try to do this prior to the trip in order to plan. PLEASE use the list to reach out to the respective leader when you receive your assignment. This will be a great help to them……. Please note that this is all the dad’s time to lead their families and help put on and execute this camping trip. We want to collectively show our appreciation to all the moms for all the hard work they do all year long. So, moms, you are not allowed to volunteer. Please enjoy your camping trip as the dads say thank you…..Dads, again, please be sure to show up on time for your volunteer shift. Without this volunteering we cannot have the awesome camping trip that we all look forward to. We are counting on you to do your part.
We will be using text message via an app called “whatsapp” to communicate during this camping trip. Any changes and/or updates during the actual camping trip will be sent to the cell number you provided. Please note that these messages are mainly designed to be one-way communications. Please do not respond so that we are all not inundated with excess messages. If you have a question, please text me directly and not the entire group. You will get a later email with a link to join the WhatsApp group.
A large lost and found box will be located at the entrance to our community dining room site. Please place any misplaced belongings you may find here. If you’re looking for a misplaced item, please look to find it at this location.
Check out will be 11am on Monday. Please pack up as much as possible prior to bringing your vehicle to the site for final loading. There will be many vehicles driving through during this time so be VERY careful of the many children who could still be playing. Drive slowly and make every precaution necessary. Also please make extra sure to leave our area clean and ready for new arrivals. We have always been complimented in past years as being the best group. Because of this reputation we have received preferential booking and discounted rates. We have a big group this year and we want to leave a positive impact as we will be representing our family, our schools, and the All-Pro Dad organization…You DO NOT have to check out. Once your site is packed and clean, you are good to go.
